Our approach to privacy

CareVaan is a workplace coaching and digital wellness platform. People only use support they trust, so confidentiality is built into how the platform works: what employees share with the AI companion or with a coach stays private, and companies only ever receive aggregate, anonymised information.

Information we collect

Website visitors and prospective customers: details you choose to give us, such as your name, company name, work email, company size, role and any message you send when you request a demo or contact us.

Platform users: account details provided by your employer or by you (such as name, work email or phone number), information you enter in the app (such as check-ins, mood and energy entries, survey responses and messages with the AI companion), coaching session bookings, and basic technical information needed to keep the service secure and working.

Company administrators: contact details, roster information and plan settings needed to manage your company's account.

Confidentiality of coaching and conversations

The content of live coaching sessions, AI companion conversations, check-ins and other personal entries is confidential. It is never shared with your employer.

Company administrators can see information such as the remaining balance of the company's annual session pool, overall usage and anonymised, aggregate engagement trends. Aggregate reports are designed so that individuals cannot be identified.

How we use information

We use personal information to provide and improve the CareVaan platform, schedule and deliver coaching sessions, manage session pools and billing with your employer, respond to enquiries and demo requests, keep the service secure, and meet our legal obligations. We do not sell personal information.

Sharing

We share personal information only with service providers who help us operate the platform (for example hosting, video and communications providers) under contracts that require them to protect it, with coaches who deliver your sessions, or where required by law. Employers receive only the aggregate, anonymised information described above.

Retention and security

We keep personal information only for as long as it is needed for the purposes described in this policy or as required by law. We use administrative, technical and organisational safeguards, including encryption in transit and access controls, to protect it.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, and to object to or restrict certain processing. You can make a request at any time using the contact details below; we will respond within the time required by applicable law.

Not an emergency or medical service

CareVaan does not provide medical care, clinical therapy, diagnosis or emergency services. If you or someone else is in immediate danger, contact your local emergency number.
