Session pools, explained: how to offer live coaching without open-ended cost
A practical guide to company-wide annual session pools: how they work, how to size one, and what happens when your team needs more.
The biggest worry for a growing company considering a wellbeing benefit is rarely whether it is worthwhile. It is whether the cost will stay under control. A company-wide annual session pool is the simplest answer we know.
How a session pool works
- Your plan includes a fixed number of live coaching sessions for the year.
- Every employee can book from the same shared pool, with a soft personal limit so one person cannot use it all.
- Each booked session is counted against the pool, and the remaining balance is visible to the employee and to the company admin.
- Digital tools remain unlimited, whatever the state of the pool.
Sizing your pool
Start from the size of your team and how visible you plan to make the benefit. Teams that actively promote coaching tend to use more sessions earlier in the year; quieter launches build more slowly. Because the digital layer absorbs much of the everyday demand, a modest pool usually goes further than people expect. Smaller companies can choose from fixed packages; larger organisations can move to per-employee pricing.
When the pool runs low
Nothing stops working. Employees keep full access to every digital tool, and your company can choose to add sessions at a published per-session overage rate. There are no surprise invoices: extra sessions are a decision, not an accident.
Why hard limits help quality
A known number of sessions encourages people to use each one well. Coaches can focus on the conversations that matter, and the company can see, in aggregate and never individually, how support is being used across the year.
